{"id":6259,"date":"2014-11-21T19:25:22","date_gmt":"2014-11-21T19:25:22","guid":{"rendered":"https:\/\/www.n-able.com\/?p=6259"},"modified":"2021-07-12T14:39:30","modified_gmt":"2021-07-12T13:39:30","slug":"business-recovery-step-5-file-level-recovery","status":"publish","type":"post","link":"https:\/\/www.n-able.com\/es\/blog\/business-recovery-step-5-file-level-recovery","title":{"rendered":"Business Recovery, Step 5: File Level Recovery"},"content":{"rendered":"<p>In my\u00a0previous article I talked about the recovery of critical files, the <a href=\"https:\/\/www.n-able.com\/blog\/recovering-speed-business\">recovery point objectives<\/a>\u00a0(RPOs) for them, and how file versioning helps meet the customer need to recover files that simply don\u2019t change very often.<\/p>\n<p>But most files don\u2019t fall into the \u201cthis is critical, but it doesn\u2019t change much\u201d category; I think you\u2019ll agree that most fall into the \u201cI created this once and never touched it again\u201d category. So are these files important and, if so, what services should you provide around file level recovery?<\/p>\n<p>Let\u2019s first put some context around which files we\u2019re not talking about.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"size-medium wp-image-3809 alignright\" src=\"\/wp-content\/uploads\/blog\/maxiq\/2014\/11\/Step-5-350x173.jpg\" alt=\"Step-Five\" width=\"350\" height=\"173\" data-entity-type=\"\" data-entity-uuid=\"\" \/>If you\u2019ve followed the steps in this blog series, you\u2019ve already discussed recovery objectives \u2013 most likely at an application level \u2013 with your customer. So you\u2019ve decided, for example, you need to recover Exchange within an hour and have the data recovered to within 4 hours. If you\u2019re using the right\u00a0<a class=\"ext\" href=\"https:\/\/www.maxfocus.com\/backup?adv=29051&amp;loc=86\" target=\"_blank\" rel=\"noopener noreferrer\">backup\u00a0solution<\/a>, you shouldn\u2019t be concerned about which files are involved for this kind of recovery; it should be a simple checkbox of a server with some kind of context around Exchange, and the solution does all the work.\u00a0<em>So this kind of data set isn\u2019t a candidate for file level recovery.<\/em><\/p>\n<p>What, then, is a file level recovery data set?<\/p>\n<p>Think about all of the files stored on file servers \u2013 those stored in folders accessed by a user, a team, or a department. Files that, while aren\u2019t absolutely critical to the business, make up the sum total of years of work done outside an enterprise application \u2013 and are important to an individual or team using them. Those are the files we want to ensure are recoverable. Without them, individual contributors and teams may be set back in their workload for days, weeks or months.<\/p>\n<p>Since this data set represents a ton of \u201cone-off\u201d work, is there a proper way to plan to recover these files?<\/p>\n<h2>File Level Recovery<\/h2>\n<p>Before backups got smart, file level backup and recovery was all there was. So, remember, the focus here is more how you approach the backup and recovery of files, more so than the backup and recovery itself.<\/p>\n<p>The success of file level recovery lies in determining, with your customer, exactly how critical the files are. If you are specifically performing incremental backups across the board, you probably won\u2019t be able to recover an entire set of files easily nor quickly, because each file changes so infrequently and because the files were created over such a long period of time. This means you will need to look at files more closely than as just a single set.<\/p>\n<p>For an effective file level recovery strategy, you should look at breaking up the files into subsets based on who uses it, how critical are the files at a department level, etc. (similar to how you look at data on a per-application basis), and determine what is the RTO and RPO for each subset of data. Now, you could just back it all up and restore it at once, and that very well may work for smaller sets of files. But when you have years of data to be recovered, there will be some priority as to which data is recovered first.<\/p>\n<h3>What\u2019s required?<\/h3>\n<p>There are two basic steps:<\/p>\n<ol>\n<li><strong>Establish File Subsets<\/strong>\u00a0\u2013 separate out user profile data, from home folders, from departmental data, etc. Each has a different value to the business and may fit at different points into the overall recovery process should a disaster strike.<\/li>\n<li><strong>Define Recovery Objectives<\/strong>\u00a0\u2013 This will define exactly where in the recovery process they fit. In a true \u201cwe lost our building\u201d disaster, user profiles (which can take up GBs of space each) may be less critical than data shared within a department.<\/li>\n<\/ol>\n<h3>What\u2019s the benefit?<\/h3>\n<p>File level recovery has been around as long as backups have been, so there\u2019s no big unveiling here.
