To Help You Secure Your Email, Private Portal Is Now Available—For Free

We live in a world where 83% of security professionals believe that employees have accidentally exposed customer or business-sensitive data at their organization via email (Business Wire).
This sheds light on a great vulnerability faced by MSPs and internal IT businesses worldwide: once you share critical information with your end users, that data is no longer in your hands, hence your security does not extend to it anymore. If only there was a way to prevent that!
Luckily, there is.
Why deploy a secure web email system?
The vast majority of companies today rely on their email. The approximate number of business and consumer emails sent and received per day exceeds an astounding 319 billion (The Radicati Group). This being said, email is as vulnerable as it is common. Two 2022 stats (PurpleSec) are worth keeping in mind in this regard:
- 92% of malware is delivered by email
- Business email compromise amounted to 19,369 complaints with a rough loss of $1.8 billion
So, how do you stay safe in such a dangerous environment? Firstly, you can check our previous article on phishing attacks and protecting yourself against them. Secondly, make sure that your email is always transmitted over TLS using MTA-STS, DANE, or custom TLS requirements. To further enhance email security, you can use a secure web email system for messages containing crucial business or private information. For instance, a system like Mail Assure Private Portal.
What is Private Portal?
Private Portal is a brand-new Mail Assure feature specifically built for data that is so sensitive that sending it through to the recipient and having it stored on devices with unknown security levels is unacceptable. How does this secure email service work exactly?
In short, Private Portal sends out a notification to recipients when they receive an email with business-critical information based on policies configured by Mail Assure partners. By clicking the link within the notification, the recipients can view and reply to the email in a protected web-mail system (or, in other words, in a Private Portal).
To access Private Portal, Mail Assure users do not need to pay any additional fees or install new software—they can simply use their usual app and any messages that match the configured policies will be automatically re-routed to Private Portal. At the opposing end, in order to view messages in Private Portal, recipients can quickly create a free account by clicking the link in the email notification.

Mail Assure partners decide what information qualifies to be sent, received, and answered in Private Portal. This means that the partner picks who Private Portal policies apply to (e.g. to all customers, a specific customer, or even a specific mailbox), the filtering rules (e.g. by subject, sender, URL, etc.), and specific pieces of content that would indicate that the email is sensitive.

How do I know my emails are safe in Private Portal?
It’s important to keep in mind that all messages sent through Private Portal are encrypted with standard TLS in transit through every stage and with AES-256 at rest.
Another measure in place is that secure emails stored in Private Portal are deleted after 30 days—a key protection against attackers searching inbox history for critical information.
Moreover, partners have access to a Log Search page for Private Portal emails as well as an Audit log where they can see each message’s journey in detail, which provides great visibility into each of the messages stored within Private Portal.

How can I try out Private Portal?
Again, keep in mind that:
- Private Portal is included for free with Mail Assure
- No new software is required for partners, senders, or recipients to access and use Private Portal
- Senders continue using their email client of choice, whether sending a Private Portal message or regular email
- Private Portal email recipients do not require a Mail Assure license, and use their browser to view and reply to the message within the secure system
So, for those who still haven’t deployed Mail Assure for their email protection, there has never been a better time to do so, as Private Portal is a significant increase of the solution’s value for money—in an industry where many competitors offer similar features at an extra cost or included in their most expensive packages. You can start a free trial today and check it out yourself.
For those who are already using Mail Assure—just access your usual Mail Assure app, configure the policies, and give it a try.
After all, why not provide your most precious business data with an extra layer of protection?
